ICB saves 2,220 days of administrative time

NHS Kent and Medway ICB has saved 2,220 administrative days per year through a web-based tool designed to streamline contract claims and income management.

NHS Kent and Medway ICB's primary care team rolled out Enlivio’s Contract Manager software in July 2022. It is now in use across 185 practices.

Before the software was installed, teams ran searches manually, exported data to Excel, and created PDFs for the ICB to approve. This increased the risk of missed payments and provided limited data intelligence or consistent KPIs across practices.

Practices can now analyse individual services – including minor surgery, phlebotomy, and ADHD reviews – to understand activity, staffing costs, and reimbursement. This has improved awareness across teams and strengthened coding accuracy.

Enhancements driven by customer feedback have further streamlined workflows. Unique patient identifiers (EMIS numbers) now link each record directly to the patient within EMIS Web. This allows users to locate records, review activity, and cross-reference data more quickly when validating submissions or investigating discrepancies.

Users can also share visual summaries of activity and expected income at financial reviews, helping partners anticipate potential income dips and plan accordingly.

Natalie Rennie, senior programme manager in the Primary Care Transformation Team at NHS Kent and Medway, said: “2,220 days already sounds impressive, but in reality, there is an even greater efficiency across the entirety of the care system if time savings from fewer payment queries, audit requests, and processing manual claims are included.”
